HubSpot consulting and automation
Pipelapse sets up, fixes and extends HubSpot for small and mid-sized B2B teams. That covers pipelines and deal stages, lead routing and scoring, workflows, reporting, data cleanup and integrations with your other systems. When HubSpot's built-in tools stop being enough, we build custom apps on top of it through its API, so HubSpot stays your system of record. We're based in Toronto and work remotely across North America.
Problems we fix in HubSpot
- Reports nobody trusts because stages, close dates and amounts are entered inconsistently.
- No pipeline history. HubSpot shows today's pipeline but not what it looked like last week or last quarter. More on this gap.
- Leads sitting unworked because routing rules are missing, outdated or owned by someone who left.
- Workflows that fire twice, conflict with each other, or nobody remembers building.
- Duplicate and incomplete records that break segmentation, scoring and reporting.
- Data trapped in other tools: billing, call recordings, product usage and support tickets that never reach the deal record.
What we deliver
- Pipeline and deal stage setup with clear definitions, required fields and stage rules.
- Lead routing and scoring based on what actually converts in your data.
- Workflow automation for handoffs, deal creation, approvals, renewals and alerts.
- Reporting and dashboards, inside HubSpot where it's enough and in a custom app where it isn't.
- Data cleanup and enrichment: deduplication, standard values and missing fields filled in.
- Integrations between HubSpot and billing, call recorders, product data, forms and team chat.
- Custom apps on top of HubSpot for pipeline history, deal health and AI deal summaries.
Where HubSpot's built-in reporting stops
HubSpot is strong on the current state of your pipeline and weaker on change over time. It can't easily show your whole pipeline as it stood on a past date, track slipped close dates week by week, or check forecasts against what actually closed. We cover those gaps in our guides on HubSpot reporting limits and tracking week-over-week movement, and we build the fix when a team needs it.
An example build
The clearest example is an internal app we built for a B2B software sales team, which still runs their weekly pipeline review. It sits on top of their CRM and does the things the CRM couldn't:
- Saves the whole pipeline every week, so any week can be compared with any other.
- Explains every change: new deals, deals that grew, won, lost and pushed, in dollars.
- Reads each deal's calls and emails and writes a short summary, a health score, MEDDPICC gaps and next steps.
- Prepares the Monday review before the meeting, with the deals that need a decision at the top.
- Reports on inbound: which sources and forms turn into qualified leads and pipeline.

How an engagement works
Every engagement starts with a short call about what's missing, what's manual and what nobody trusts. We follow up with a one-page scope: what we'll build, how long it takes and the best way to work together. Then you pick one of three shapes, and you can switch later.
| Option | Best for | How it runs |
|---|---|---|
| Build sprint | One specific thing you need built | Fixed scope agreed up front. First version in days, done in one to two weeks, handed over with documentation. |
| Monthly retainer | Teams that keep needing things built and fixed | A set number of hours each month for builds, fixes, reporting changes and ops work. We maintain what we build. |
| Contract | An extra GTM engineer or ops lead, without a full-time hire | Billed hourly, working in your tools and standups, short or long term. |
Common questions
Are you a HubSpot Solutions Partner?
Not today. Pipelapse is an independent consultancy. We work inside your existing HubSpot account with the access you give us, and everything we build stays in your account or your systems.
Can you work in our existing HubSpot portal?
Yes. Most of our work happens in the portal you already have. We start by reviewing pipelines, properties, workflows and data quality, then fix or extend what's there rather than starting over.
Which HubSpot tier do we need?
Most of what we build works on Professional. Workflows need Professional or above, and some features, such as custom objects, need Enterprise. Custom apps built on the API can fill many gaps without a tier upgrade.
Can you build things HubSpot doesn't do?
Yes. When a report or process doesn't fit inside HubSpot, we build a custom app that reads and writes HubSpot data through its API. Pipeline history, deal health scores and AI deal summaries are common examples.
How long does HubSpot work take?
Focused fixes such as routing, scoring or a reporting cleanup usually fit a build sprint of one to two weeks. Ongoing admin and changes suit a monthly retainer.
